Refund & Cancellation Policy
At Sri Chaitanya Institute of Technology & Research (SCIT), Khammam, we are committed to ensuring clarity and transparency in all financial transactions. This Refund & Cancellation Policy outlines the conditions under which payments made to the institution may be refunded or cancelled.

Admission Cancellation & Refund
a. Before Admission Confirmation
If a student withdraws before admission is confirmed or before the seat is allotted:
- Refund issued as per AICTE/JNTUH/Government of Telangana guidelines
- Processing charges may be deducted
b. After Admission Confirmation
Once admission is confirmed and a seat is allotted:
- Refund eligibility follows AICTE/JNTUH norms
- Admission/registration fees may be non-refundable
- Only specific fee components may be refunded
c. After Academic Session Begins
If the student cancels admission after the start of classes:
- Refund is usually not applicable, except in special cases approved by the management.

Tuition Fee Refund & Cancellation
Refund of tuition fees is governed by:
- AICTE policies
- JNTUH regulations
- SCIT institution rules
Eligibility:
- Before commencement of classes → Partial or full refund may be possible
- After commencement → Tuition fee is non-refundable
No cancellation is allowed once the semester starts unless approved by the principal/management.

Examination Fee Refund & Cancellation
Examination fees once paid are non-refundable, except:
- Duplicate/extra payment
- Examination cancelled by the institution/university
Administrative charges may apply.

Hostel Fee Refund & Cancellation
Before Hostel Allotment
- Hostel fee may be refunded after deducting processing charges.
After Hostel Allotment
- No refund of hostel fee.
- Mess fee may be refunded on a pro-rata basis only if approved by authorities.

Transport Fee Refund & Cancellation
Before Bus Pass Issuance
- Transport fees may be refunded after cancellation charges.
After Bus Pass Issuance / Usage
- Transport fees are non-refundable.

Duplicate or Excess Payments
In case of:
- Duplicate transactions
- Excess payments
- Technical errors
Refunds will be made to the original payment method within 7–21 working days.

Non-Refundable Fees
The following fees are strictly non-refundable:
- Application form fee
- Registration fee
- Late fee
- Revaluation/recounting fee
- Penalties/fines
- Convenience/transaction charges

Cancellation of Online Payments
If a payment made through the website needs to be cancelled:
- The user must submit a written request with payment proof.
- Cancellation will be processed only if the amount is not yet captured/settled.
- After settlement, cancellation is not possible, only refund as per rules.

Documentation Required for Refund/Cancellation
To process refund/cancellation, the student must provide:
- Written application/request
- Original receipt (if applicable)
- Proof of online transaction
- ID proof
- Bank account details
Incomplete documentation may delay processing.

Processing Time
Refund/cancellation requests may take:
- 7–21 working days for verification & approval
- Additional banking/technical time depending on payment gateway or bank.
