Discipline at the Examination Hall

Examination Timings

For 3-hour examinations:

  • Forenoon (FN): 10:00 AM – 1:00 PM
  • Afternoon (AN): 2:00 PM – 5:00 PM

General Instructions for Candidates

To ensure the smooth and fair conduct of examinations, all candidates must strictly follow the guidelines below:

Candidates Must:

  • Check the Hall Number and seating plan displayed every day before the examination
  • Enter the examination hall at least 15 minutes before the commencement of the examination and occupy their allotted seat
  • Carry the Admit Card and College Identity Card without fail
  • Check the condition of the answer booklet and verify whether it contains all pages (No additional sheets will be issued)
  • Ensure that Register Number, Degree/Branch, Course Code/Name, and Date of Examination are correctly filled in on the answer booklet
  • On receiving the question paper, verify the Course Code/Name and ensure that the correct question paper has been issued
  • Sign the attendance sheet before leaving the examination hall
  • Maintain absolute silence inside the examination hall
  • Be aware that any form of malpractice will be viewed seriously and strict disciplinary action will be initiated as per academic regulations. This may lead to cancellation of all examinations written during the semester
  • Inform the invigilator immediately if any page, data, diagram, or figure is missing or if there is an error in the question paper
  • Leave the hall only in case of emergencies such as illness or natural calls, and only with prior permission from the Controller of Examinations or the Invigilator, accompanied by supporting staff if required

Prohibited Items

Ensure that you are not in possession of:

  • Mobile phones
  • Programmable calculators
  • Pagers
  • Notes or any written/printed material (unless permitted by the COE)

Important Reminders

  • Avoid writing or marking anything that could reveal your identity in the answer booklet
  • Ensure that no sheets are detached from the answer booklet
  • The answer booklet must not be taken outside the examination hall under any circumstances
  • Return any data books, charts, or manuals issued to you before leaving the examination hall

Examination Procedures

The Office of the Controller of Examinations (COE) was established in June 2016 following the conferment of Autonomous status to the institution. The COE is responsible for planning, conducting, and monitoring all examination-related activities.

Roles & Responsibilities

The COE office handles the following:

  • Preparation and announcement of the Academic Calendar
  • Question paper setting for all theory and laboratory courses
  • Conducting Continuous Internal Assessment (CIA) tests and Semester End Examinations (SEE)
  • Centralized valuation of answer scripts
  • Declaration of results within scheduled timelines
  • Printing and issuing Grade Sheets, Consolidated Grade Statements, and other certificates
  • Recommending students to the University for the award of degrees
Examination Schedule

Examinations are held at the end of each semester:

  • Odd Semesters: October / November
  • Even Semesters: April / May

Students who fail to clear any course may appear for the supplementary examination.

Attendance Requirements & Detention Policy

  • Students are expected to maintain 100% attendance in every course
  • A minimum of 75% attendance (including participation in NCC, NSS, sports, and related activities) is mandatory to appear for the SEE

Condonation Policy

  • Attendance between 65% and 74% may be condoned up to 10% by the College Academic Committee (CAC)
  • Students must submit:
    • Medical certificates
    • Medical case file
    • Supporting documents
    • Recommendations from the Head of the Department

Other Conditions

  • Attendance is calculated based on the Academic Calendar
  • For late admissions, attendance is counted from the date of admission
  • Students failing to meet attendance requirements are detained and must seek readmission in the next offering of that semester
  • A student with any pending disciplinary action shall not be permitted to attend the SEE

Promotion Policies

For B.Tech Regular Students

Promotion to III Semester:

  • Must secure 50% of total credits from I & II semesters (rounded down to the nearest integer)

Promotion to V Semester:

  • Must secure 60% of total credits up to III semester or
  • 60% of total credits up to IV semester

Promotion to VII Semester:

  • Must secure 60% of total credits up to V semester or
  • 60% of total credits up to VI semester

Graduation Requirement:

  • Must register for and earn all 160 credits
  • Grades from all 160 credits will be counted for award of degree
For B.Tech Lateral Entry Students

Promotion to V Semester:

  • Must secure 60% of total credits up to IV semester

Promotion to VII Semester:

  • Must secure 60% of total credits up to V semester or VI semester

Graduation Requirement:

  • Must register for and earn all 126 credits
  • Grades from all 126 credits will be counted for award of degree

Question Paper Pattern

SEE is conducted for:

  • 60 marks (QP25 Regulations)
  • Examination duration: 3 hours

Pattern

  • Syllabus is divided into Five Modules
  • Two full questions (with Either-Or choice) are set from each module

Weightage Criteria

  • 50% – Conceptual understanding
  • 30% – Analytical skills
  • 20% – Application skills

Issue of Admit Card / Hall Ticket

  • Students must register for SEE through the online exam registration system on the Samvidha portal (samvidha.iare.ac.in)
  • Students with arrears must select arrear courses during registration and pay the applicable fee separately
  • On successful registration, students can download the Hall Ticket from the portal

Restrictions

Hall ticket cannot be downloaded if:

  • There are dues pending
  • Attendance requirements are not met

Note: The exam registration and hall ticket download window remain open only for a limited period. Students failing to apply or download the hall ticket within this period will not be permitted to appear for examinations under any circumstances.

Evaluation Process

  • Evaluation for all exams (CIE & SEE) is done centrally
  • Answer scripts are scanned and barcoded immediately after the exam to ensure confidentiality
  • CIE theory papers are evaluated by internal faculty
  • SEE theory papers are evaluated by external examiners from reputed institutions

Makeup Examination

Conducted for students who missed CIA tests due to:

  • Medical reasons
  • Other genuine grounds

Students may register for makeup exams for CIA-I, CIA-II, or both by paying the prescribed fees.

Revaluation of Answer Scripts

  • Students dissatisfied with SEE marks may apply for revaluation within 3 working days of result publication
  • Applicable only for theory papers

Outcome Rules

  • Revaluation marks are considered only if the difference from the original marks is ≥ 15% of SEE marks
  • If the difference is > 20%, a third evaluator is appointed
  • The nearest two marks (within 15% range) are considered, and the least is awarded

Revision of Regulations & Curriculum

  • The institute may revise or amend regulations and curriculum whenever necessary
  • Any changes will be communicated through:
    • Circulars from the Principal
    • Notifications from the Dean (Academic)

Guidelines for Examinees

Students appearing for examinations must adhere to the following guidelines to ensure smooth and fair conduct of examinations:

1. Entry Requirements

  • Students must not wear shoes inside the examination hall
  • Identity Card and Admit Card issued by the Principal are mandatory
  • Candidates should occupy their allotted seats at least 15 minutes before the commencement of the examination
  • Maintain discipline and silence inside the hall at all times

2. Instructions During Examination

  • Listen carefully to all instructions given by the invigilator before and during the examination
  • Late entry is strictly prohibited once the examination begins
  • Candidates may leave the hall only after 1 hour 30 minutes from the start of the exam
  • The question paper may be taken by the candidate only if leaving during the last 30 minutes of the exam

3. Writing Materials

  • Students must bring their own pens, pencils, erasers, instruments, calculators, etc.
  • Borrowing items inside the hall is not allowed
  • Only blue or black ink/ball pens must be used for writing answers
  • Color pens/sketch pens may be used only for diagrams and charts
  • Only non-programmable calculators are allowed

4. Materials Provided

  • Mathematical tables, Statistical tables, and other standard handbooks will be supplied on request
  • These must be returned without any scribbling after use

5. Prohibited Items

Candidates must not possess:

  • Wallets
  • Mobile phones
  • Tablets or electronic gadgets
  • Communication devices
  • Textual/printed/written material
  • Bits of paper or any unauthorized notes

Possession of prohibited materials will lead to disciplinary action.

6. Question Paper Verification

  • Students must verify that they have received the correct question paper before starting the exam
  • Incorrect question papers should be returned immediately to the invigilator

7. Answer Book Guidelines

  • Writing beyond the prescribed exam time is prohibited
  • Rough work must be done only in the space provided in the answer booklet; no separate sheets will be issued
  • No sheet should be detached from the answer book
  • Smuggling sheets in or out is a punishable offence under the Indian Penal Code
  • Candidates must hand over the answer book personally to the invigilator before leaving

8. Identification on Answer Book

  • Register Number should be written only in the designated area
  • Writing names, internal marks, or any message/appeal to the examiner is strictly prohibited and will be treated as malpractice

9. Malpractice

Any student found indulging in malpractice will be immediately reported to the Controller of Examinations for necessary disciplinary action.

Schedule of Examinations

The institution follows a well-structured examination schedule to ensure smooth academic functioning and timely assessment of student performance. All examinations are conducted as per the Academic Calendar approved by the Academic Council.

1. Continuous Internal Assessments (CIA)

  • Conducted twice every semester
  • Includes written tests, assignments, quizzes, laboratory assessments, and project reviews
  • Dates are announced by the Controller of Examinations in coordination with departments

2. Semester End Examinations (SEE)

  • Conducted at the end of every semester for both theory and laboratory courses
  • Odd Semester SEE: October / November
  • Even Semester SEE: April / May
  • Examination timetable is published at least two weeks in advance

3. Supplementary Examinations

  • Held for students who did not pass in one or more courses
  • Conducted shortly after the announcement of SEE results
  • Separate timetable and registration process will be notified

4. Makeup Examinations (For CIA)

  • Conducted for students who missed CIA due to medical or genuine reasons
  • Dates will be informed by the COE office

5. Special Examinations (If applicable)

  • Conducted for final-year students to help complete pending courses (subject to regulations)
  • Scheduled only with approval from academic authorities

Semester End Examination for Practical Courses

Continuous Internal Evaluation (CIE) – 40 Marks

For all practical/laboratory courses, the CIE is conducted for 40 marks during the semester. The break-up is as follows:

Viva-Voce / Tutorial / Case Study 10 Based on the laboratory course content
Internal Practical Examination 10 Conducted by the course instructor/laboratory teacher
Laboratory Report / Project 10 Evaluation based on Design, Software/Hardware Model, App Development, or Prototype Submission. This assessment is done after completion of all lab sessions and before the Semester End Practical Examination.

Semester End Examination (SEE) – 60 Marks

The SEE for practical courses is conducted for 60 marks, jointly by:

  • One External Examiner (appointed from outside the college's cluster)
  • The Laboratory Course Teacher

Change of Experiment Policy

  • First Change: 5 marks deducted from total 60 marks
  • Second Change: Additional 5 marks deducted
  • Third Change: Not permitted under any circumstances

Autonomous Examinations – Standard Operating Procedure (SOP)

The Autonomous Examinations SOP ensures a transparent, efficient, and student-centric evaluation system. It outlines the step-by-step procedures followed for planning, conducting, evaluating, and declaring examination results in an autonomous institution.

1. Preparation of Academic & Examination Calendar

  • Draft the Academic Calendar in coordination with all departments
  • Finalize schedules for CIE, SEE, practical exams, project reviews, valuation, and results
  • Obtain approval from the Academic Council

2. Question Paper Setting

  • Appoint qualified internal/external subject experts as question paper setters
  • Provide detailed course files, syllabus, and blueprint to setters
  • Ensure confidential and secure handling of question paper preparation and storage

3. Continuous Internal Evaluation (CIE)

CIE is conducted to assess student performance throughout the semester. It includes:

  • Mid-term examinations
  • Assignments, quizzes, and tutorials
  • Laboratory internal exams
  • Project reviews
  • Attendance-based evaluation (if applicable)

Marks are recorded and uploaded to the examination portal within the stipulated timeline.

4. Pre-Examination Procedures

  • Issue examination notifications and schedules
  • Process student eligibility, hall ticket generation, and seating arrangements
  • Train invigilators, squad members, and exam cell staff on examination protocols
  • Prepare examination materials (answer booklets, attendance sheets, stationery)
  • Display rules and guidelines for students

5. Conduct of Examinations

  • Ensure strict adherence to examination timing and protocols
  • Verify student identity using hall tickets and photo ID
  • Maintain discipline and fairness during exams through invigilation and vigilance squads
  • Collect answer scripts securely at the end of each session
  • Report and record any malpractice cases

6. Valuation & Coding System

  • Implement bar-coding/coding of answer scripts to ensure confidentiality
  • Assign scripts to qualified evaluators (internal/external)
  • Follow double valuation or moderation procedures where applicable
  • Enter marks in the examination portal after verification

7. Result Processing and Declaration

  • Compile CIE and SEE marks as per academic regulations
  • Generate grade sheets using the approved grading system (CGPA/SGPA)
  • Verify results through multi-level checking (subject expert → COE → Principal)
  • Publish results within the announced timeline

8. Revaluation, Recounting & Challenge Valuation

Provide students an opportunity to apply for:

  • Revaluation of answer scripts
  • Recounting of marks
  • Challenge valuation (if applicable)

Process requests and update results accordingly.

9. Supplementary Examinations

  • Conduct supplementary/instant exams as per institutional policy
  • Follow the same procedures for question paper setting, examination, valuation, and result declaration

10. Certification & Documentation

  • Issue Grade Sheets, Consolidated Statements, Provisional Certificates, and Transcripts
  • Submit list of successful candidates with CGPA to the affiliating university for Original Degree (OD) issuance
  • Maintain secure records of all examination data for future reference and audits

11. Compliance, Review & Quality Assurance

  • Follow norms of UGC, AICTE, JNTUH, and internal regulations
  • Periodically review examination processes for improvement
  • Conduct audits and feedback sessions with faculty, students, and exam cell staff
